Plan the Perfect Party

26th January, 2010

Clueless about planning a stress-free event? Planning a party can become an overwhelming event, if everything is put off to the last minute. Therefore, we have come up with a surefire way to help you plan for your event, without adding any more stress to your everyday life!

Four to six weeks before the BIG DAY!

• Choose a theme.

• Make a guest list.

• Pick a date and time.

• Decide if it will be indoors or outside.

• Decide if you will have it at home, go to a park, or pay for a hall.

• Decide on the day’s activities; what time to eat, what games to play, what crafts to do, etc.

• Order your Party Supplies; including favors, decorations, wrapping paper, tape, plates, plasticware, cups, and piñatas.

• Order your entertainment; get written receipts and read those contracts. (i.e. music and dj, magician, clown, farm animals, balloon bouncer, etc.)

Three weeks before the BIG DAY!

• Send out invitations; asking for RSVP’s by a certain date and time.

• Place a list of those you invited next to the phone to record RSVP’s.

• Go over directions for the games and make sure you have everything.

• Go over directions for the crafts and make sure you have everything.

• Go out and purchase anything you may be missing for games and crafts.

• Solicit help from family members and friends. (i.e. clean up, games, taking pictures, answering phones and doors)

Two weeks before the BIG DAY!

• If you haven’t received any RSVP’s, call to make sure they are coming.

• Confirm your helpers can still attend and what their duties will be.

• Pick out prizes for games and wrap them.

• Order the cake.

• Confirm your entertainment.

• If this is an adult party, hire your babysitter.

One week before the BIG DAY!

• Call all confirmed guests and remind them of the big day, double checking directions.

• Purchase Film, batteries, video tape and back up disposable film.

• Purchase food and candies.

• Make up the goodie bags based on confirmations.

• Prepare the crafts and games.

One day before the BIG DAY!

• Prepare your foods ahead of time. If anything can be cooked and reheated, now is the time.

• In the evening, when everyone is in bed, clean the house and set up the party spot.

(If you rented a hall, you can usually ask to get in the night before, provided they haven’t a morning event. If you are going to a park, you’ll just have to wait till the morning of the event, sorry.)

Day of the BIG DAY!

• Pick up the cake.

• Blow up and set out balloons four hours before the event.

• Shower, Get Dressed, Ready the kids.

• HAVE FUN!!

Week after the BIG DAY!

• Send out thank you notes to all the helpers and those who gave gifts!

Make Music, Make Money – Finding and Selling to Venues

25th January, 2010

Finding The Right Venues

In my years of talking with venue management regarding live-music, I’ve learned that not every ‘music venue’ is right for every musician/band. Here are some tips on how to find the right venue for your music.

Genre – Ask what type of music the venue usually features. What’s the average age of the venue’s target market? Make sure you fit with the program.
Draw – There are two basic types of music venues. The first type has an embedded base of music-loving customers that show up to hear quality acts. The second, and more prevelant type, needs the performers to bring their fan base with them. If you’ve got a good following, great, you can pick and choose where to play. If you don’t, just tell the truth. Misleading managers will end badly for you and it reflects poorly on all musicians trying to earn a buck.
Pay Scale – It may seem abrupt, but discussing the pay scale with management up front will save you a lot of time. Why go into great detail about how great your band is if you need $900 and they only pay $300?

Like it or not, selling yourself is an important part of getting gigs.

3-Secrets to Selling to Venues

Getting into a venue to perform solo, or with a band, is a daunting task.

I’ve been selling to bars/restaurants for years with quite a bit of success. Here are three secrets to successful venue selling.

1. Respect Their Time – Venue owners/managers are very busy people. They must manage every aspect of their operation. From finding a replacement for the dishwasher that didn’t show up this morning to overseeing the delivery of beer and burgers, they do it all.

Call during their ‘down time,’ afternoons, 2 – 5, is the best time to call venues. You’ll have the most success if you adhere to this time frame and venue operators will appreciate it.

2. Stand Out – Is there something about you act that sets you apart from the rest? If so, great. If not, develop something that makes you stand out. Once you’ve got it, push it! Venue operators typically want to know two things, 1. how much you charge, and 2. how many people can you bring.

Your ‘stand out’ item will help convince a manager/owner that you’re worth the risk.

3. Audition – Way too many musicians rely on press kits as their only sales tool. In many cases, the press kit is only the start.

Many music venues have open mics. Lookup the open mics in the town where you want to play (OpenMic.US is a great place to start.). Pick the places that you most want to play and go to their open mic. Talk to the manager in advance of your performance and tell him you’re auditioning. After you play, get with the manager and ask for a date.

Employ these three tactics with venue operators and you’ll be getting booked on a regular basis.

Corporate Entertainment Planning – They Plan, Artist Entertain, You Party!

25th January, 2010

Have you lately perhaps noticed tension and uncreative atmosphere in your company? Than it is time to make some changes for better relationship between coworkers, because that is the only way you can get effecter work in your company, and the most important better results.

Round tested practices tells as that entertainment team approach works the best. Before planning an entertainment event, it is worth to make some team-building plan. The best start is to make a written plan of what you want to achieve through your event, and how you plan to make it happen. Include approximate guest figures and a budget, as these figures can come in handy when choosing venues and supplies.

If you have been to enough office gatherings throughout your working years, you would probably agree that these events are not easy to plan. The problem occurs when you throw coworkers into a social situation such as an office party, no one knows how to act. Most people act differently in front of their peers, supervisors, and subordinates. Add spouses and dates to the picture, mixes different departments, and you have a recipe for boredom at best, and disaster at worst.

It can be a great idea to try new party ideas or themes, helping to make your event memorable to your coworkers. Sophisticated corporate events could even include a party theme. Why not impress colleagues by showing them you aren’t afraid to have fun? It can be a great way to bond with work colleagues and something to laugh about on Monday morning.

If you are planning a big event, instead of wasting your staff’s time, the best and easier way is to hire corporate event planners. In general, corporate entertainment relates to private events held by corporations or businesses for their staff, clients, or stakeholders. They can even plan private concerts inviting different artist as well and hand on part of a work on artist management.

So, once you have chosen a theme explain it to your corporate event planner because it is important that they understand your aim. Each event starts with a good theme and well-chosen party favors will extend the good feelings at you party.

Think about hiring entertainers or artist to help break the ice. Like we already mention, artist management agencies will search for appropriate artists for your entertainment and take care of all event organization so you can focus on more important things. The most frequent and most usual choice is live bands or singers. However, it can be DJ, a local choral group or anything else that can cover for those awkward silences that are bound to occur at the beginning of the party.

For truly memorable entertainment you can even think of alternatives that are more interesting like dance group, single dancers, magicians with amazing close up magic for your staff or funny comedians, even look-alikes, who will surprise you with amazing resemblance to the famous celebrities.

The choice is in your hand and after having the theme and chosen artist you and your corporate event planner expert will work better and will put show biz into your biz. But for perfect conclusion of organization you mustn’t forgot about the manner how to invite fellow workers to a party.

Be as generous as your budget allows. Employees have worked hard for you all year and they are looking for a show of appreciation. After the party, you will see that all the work was worth it. What could be better as seeing smiling faces at the working desks.
